Contract Administrator Position
Position: Administrator (Annual Contract)
Location: Remote (US), with some reimbursed travel required for meetings
Reports to: President
Compensation: Range of $43,680 to $54,600, payable monthly, commensurate with experience
Target Start Date: November 1, 2026 (or as mutually agreed)
Position Summary
The Art Alliance for Contemporary Glass (AACG), an international, member-driven, nonprofit organization dedicated to advancing the appreciation and development of contemporary glass art, seeks an organized, detail-oriented Administrator to oversee the organization's day-to-day operations. The Administrator serves as the primary administrative contact for members, the Board and its committees, as well as with partners and other stakeholders. This position will manage AACG’s membership, communications, website content, financial administration, and organizational support. This Administrator will work in collaboration with a current Administrator, who will be handling a limited number of other responsibilities.
Key Responsibilities
- Manage daily administrative operations, respond to inquiries, and provide support to the president and the Board and its committees.
- Administer AACG's membership database (Neon), including new memberships, reports, and member communications.
- Maintain and update the AACG website, including its detailing of current programs, events, news, grants, scholarships, Artist of the Month, and other content.
- Produce twice-monthly electronic newsletters, dedicated e-mail campaigns, and organizational communications using Constant Contact.
- Handle marketing efforts, including social media, promotional materials, and digital outreach.
- Support virtual programming by creating Zoom meetings, promoting programs, maintaining the member video library, and coordinating committee communications.
- Process donations, acknowledgments, tax letters, and special fundraising campaigns.
- Manage financial administrative functions, including, invoicing, refunds, reports for the Treasurer and accountant, and insurance records.
- Prepare Board meeting materials, maintain governance records, schedule meetings, and support Board and committee activities.
- Coordinate administrative support for AACG’s philanthropic initiatives, including its scholarships, awards, exhibitions, and other related organizational efforts.
- Other responsibilities as will be defined.
Qualifications
- Three or more years of administrative experience, preferably with a nonprofit organization.
- Excellent organizational and problem-solving skills with exceptional attention to detail.
- Strong written, verbal, and electronic communication skills.
- Experience managing multiple projects and deadlines independently.
- Flexibility and responsiveness to shifting priorities, especially in support of cyclical projects and recurring organizational needs.
- A self-starter who takes initiative, works with minimal supervision, and demonstrates ownership of projects from start to finish.
- Proficiency with Microsoft Office, Google Workspace, Excel, database systems (experience with Neon CRM preferred), Constant Contact, Zoom, Squarespace, and website management.
- Experience with social media management and basic graphic design (Canva, Adobe Creative Suite, or similar) is desirable.
- Ability to work collaboratively with members, partners, and stakeholders.
- Interest in the arts (especially glass art), museums, or nonprofit organizations is highly desirable.
